1. Agreement

These Terms & Conditions ("Terms") govern your use of EventPilot (the "Service"), operated by EventPilot ("we", "us"). By creating an organization account, purchasing a subscription, or using the Service, you agree to these Terms. If you use the Service on behalf of an organization, you confirm you are authorized to bind that organization.

2. The Service

EventPilot is a multi-tenant software-as-a-service platform for event registration, QR badge delivery, on-site check-in, and attendance reporting. We provide the software; you remain the organizer of your events and the controller of your attendee relationships, event content, and on-site operations.

3. Accounts and responsibilities

• You must provide accurate account and billing information and keep it current.
• You are responsible for safeguarding login credentials and for all activity under your organization's accounts, including staff and reception users you invite.
• You must have a lawful basis to collect and process the attendee data you gather through the Service.
• You may not use the Service to run unlawful, fraudulent, or deceptive events, to send spam, or to attempt to access other tenants' data.

4. Subscriptions and billing

Paid plans are billed in advance on a monthly or yearly cycle at the prices shown on our pricing page, plus applicable taxes (including GST where required). Plan limits — such as events, registrations, and staff seats — are described on the pricing page for each tier. Payments are processed by our third-party payment gateway; we do not store your full card or banking details.

Subscriptions renew automatically at the end of each billing cycle unless cancelled before renewal. If a renewal payment fails, we may retry the charge and, after notice, suspend access until payment succeeds. Cancellation and refund terms are set out in our Refund & Cancellation Policy.

5. Your data

You own the event and attendee data you and your attendees submit to the Service. We process it only to operate the Service, as described in our Privacy Policy. Tenant data is logically isolated per organization. On termination, you may request an export of your data within 30 days, after which we may delete it.

6. Availability and support

We work to keep the Service available around the clock, including during live check-in windows, but the Service is provided "as is" and we do not guarantee uninterrupted availability. Planned maintenance is announced in advance where practical. Support requests can be raised via hello@eventspilot.in.

7. Intellectual property

We retain all rights to the Service, its software, and branding. You retain all rights to your content and data. You grant us a limited licence to host and process your content solely to provide the Service.

8. Limitation of liability

To the maximum extent permitted by law, our aggregate liability arising out of or related to the Service is limited to the amount you paid us in the twelve months preceding the claim. We are not liable for indirect or consequential losses, or for outcomes of your events (including venue, attendance, or compliance outcomes).

9. Termination

You may cancel at any time from your billing settings or by contacting us. We may suspend or terminate accounts that materially breach these Terms, with notice where reasonable. Sections that by their nature should survive (data export, liability, governing law) survive termination.

10. Changes to these Terms

We may update these Terms from time to time. Material changes will be notified by email or in-app notice at least 14 days before they take effect. Continued use after the effective date constitutes acceptance.

11. Governing law and contact

These Terms are governed by the laws of India, and courts at the registered place of business of EventPilot have exclusive jurisdiction. Questions about these Terms: hello@eventspilot.in.
